Creating and editing photo galleries

Photo galleries display a collection of photos on a webpage.  The galleries can be presented in several formats when placed on a page. All galleries are created the same way and the display type is determined by which photo gallery block type is used on a page.

  • Slideshow - The Slideshow is a self-contained display for galleries not located in the focus image area.
  • Photo Board - Photo Board displays a grid of photo thumbnails which can then be enlarged by a visitor for full-size viewing.
  • Banner Rotator - The Banner Rotator is designed for use in focus image areas.
  • Photo Carousel - The Photo Carousel fans out images in a gallery so that a visitor can tab over images on either side of the carousel to engage rotation.


Clicking the Photo Galleries tab will display a list of galleries the user has access to. The gear icon next to galleries in the list provide the options to Edit, Delete, or View the gallery. Galleries can also be edited by clicking their name on the list.
View will open a new page displaying the gallery as a Photo Board on a system generated perma-page. This page URL can be shared or linked to as an alternative to placing the gallery on a page. 

  1. Click the Add Photo Gallery button to create a new photo gallery.
  2. Give the photo gallery an Internal Name. This will be the name of the gallery in the Photo Gallery list page. 
  3. The Permalink Path is generated based on the Internal Name. This becomes the direct URL to the gallery and can be customized prior to the gallery being saved, at which time the URL becomes fixed.
  4. The Display Name becomes the Heading 1 on the gallery perma-page. It can be used to override the Internal Name, the Internal Name becomes the Heading 1 if no Display Name is added.
  5. Sometimes an internal name such as 'Home Focus' makes sense for  internal organization, while having a more welcoming Display Name such as 'Welcome to Foxbright Schools' makes a better presentation for public visitors.
  6. If the gallery is to be used for a page's focus area, such as a home page, or any gallery where the images should be the same size, the appropriate Size Category should be selected. Size categories will engage the cropping tool to crop each image to the same size. Web administrators can create new size categories.
  7. A Building can be selected if the website uses themes (colored layouts unique to each building) for different buildings. Assigning a building to a gallery will apply the building's theme to the  perma-page for the gallery.
  8. Click Next.
  9. In the Edit Photo Gallery page, there are three tabs: 
    1. Information - Contains the Name, Size Category, and Buildings fields in case they ever need to be changed.
    2. Photos - This tab displays the images uploaded to the gallery.
    3. Permissions - Additional accounts can be clicked and added to the Selected Editors list so they can edit the gallery.
  10. At the top of the Edit Photo Gallery page, there are buttons to Add Photo, Save, and Cancel.
    1. Add a Photo - Adds a new image to the gallery
    2. Save - Saves all changes made to the gallery
    3. Cancel - Reverts all changes to the galleries Information area and closes the gallery and undo any reordering done to the images in the gallery.
    4. Images are saved to the gallery as they are added. To remove any newly-added images, they must be deleted. Cancel will not recover images deleted from the gallery. 


  1. Click the Add Photo button.
  2. Click Select New Image to Upload to upload an image file from computer.
  3. If a Size Category has been selected for the gallery, the cropping tool will open. If no size category is selected, the image will be uploaded in it's original size/ratio.
  4. The Following fields are available for each photo uploaded. Most fields are optional and only display when the gallery is showing caption/overlays on the page. 
    • Image Alt Text / This is decorative (one or the other is required) - Alt Text is required if the image contains important information or links. Marking an image decorative is recommended if the image is for decorative purpose only.
    • Name - Will be displayed in gallery captions when applicable.
    • Description - Will be displayed in gallery captions when applicable.
    • Link - Add an internal or external link the image. Paste in the destination URL if linking to an external source, use the Select Link button to link to an internal page or file.
    • Link Text - adds text for the selected link. Default link text of 'Read more...' will be used if no link text is added.
    • Aria Label - For compliance, adds link text for screen readers when default 'Read More...' link text is preferred visually. 
    • Open Link in New Window – Select Yes if the link is to open in a new window.
    • Show/Hide - Determines whether image will show publicly in the gallery. 
  5. Save the photo to add it to the gallery.
  • Reordering Images - Once multiple photos have been added to a gallery, they can be drag-and-dropped into the preferred order.
  • Show/Hide - Images can be hidden from the public-facing gallery without being deleted. 
  • Delete an Image - click the Delete button on the photo and confirm the deletion.
  • Edit Image Settings - click the Edit button on the image to open the image settings. An existing image can be swapped for a new image by choosing Select New Image to Upload.
  • Save the gallery to apply changes to the gallery.
  • The Cancel button will not undo deleting or adding new images to the gallery. Only changes to the gallery Information settings and image reordering will be reverted through cancelling the gallery.

Using the built-in photo editor

The Image Wizard photo cropping tool is available for photo galleries, spotlight groups and news feeds to allow users to easily resize and crop photos. When a size category is assigned to the photo gallery, it ensures uploaded images are cropped to the same width and height.

Web administrators have the ability to add new size categories. Once a preset is in the system, any user can apply the size category to their gallery.

Using Size Categories for Photo Galleries

Photo galleries can be created without any size category applied. When no preset is selected, the image cropping tool will not be available. Retroactively adding a Size Category will not crop images that have already been uploaded. They will need to be re-uploaded to activate the cropper. 

Using the Image Wizard in Photo Galleries

  1. Add or edit an existing gallery.
  2. Click the Add Photo button.
  3. Click Select New Image to Upload to upload an image from the computer.
  4. The selected photo is loaded into the Image Wizard, which provides tools to resize and crop the photo to the correct size. If the Image Wizard is not be initiated, confirm that a size category has been applied to the gallery in the information tab.
  5. A transparent crop window will appear on top of the image and a slider under the image can be dragged left/right, selecting more or less of the image to be cropped.  The crop window will never go smaller than the assigned size category. When uploading a large image, the slider may take a moment to load.
  6. Select the portion of the image to be used by resizing the image with the slider and dragging the crop-window.
  7. Click the Next button to see the cropped and resized image.
  8. Click Undo Crop to return to the crop selection window, or Save to add the photo to the gallery.
